Did you know?

How many pieces of information does the average rental carry?

About 1,200, by our count.

Our system manages them for every property in every LLC you own, and you never type them in. Records are filed by entity and property, manager statements are read automatically as they arrive, and anything can be found in seconds with a plain-English question.

Everything about every property, in one place

Today those pieces sit in email, shared folders and other people's files. Past five properties, that stretches one person too thin, and the usual fix is hiring assistants to chase it. The pieces include:

  • HOA dues, rules and contacts
  • Roof age and repair history
  • Water heater service and warranty
  • Insurance policies and deductibles
  • Mortgage and escrow
  • Property tax bills and appeals
  • Leases and tenants
  • Property manager statements

What the system did for one owner

One owner, nine rentals in three states. The insurance re-shop is one example of what the system does. The roof, the refund and the empty rooms are three more.

Insurance re-shop

Nine rentals, re-shopped through the owner's own broker in about a week. Premiums came in 23% lower than the policy replaced, deductibles fell (all other perils from $10,000 to between $1,000 and $2,500, Florida wind from 5% to 2%) and water backup was added. On one Florida rental, the drop was 43%.

Roof records on demand

An insurer threatened to cancel unless the owner proved the roof's age. One plain-English question pulled the 2017 invoice, the contractor, the photos and the proof of payment in seconds. The policy stayed in force.

Refund from a canceled policy

A canceled policy kept renewing out of escrow. We rebuilt the timeline. The carrier backdated the cancellation and refunded $3,286.17.

Empty rooms caught early

The monthly statement review caught one house averaging 62% occupancy and touching 50% before the cash showed it: $1,950 to $3,250 a month in lost rent.

What you get

The system's first two jobs are an insurance review and a monthly manager review.

Portfolio System

Every lease, policy, invoice, statement and repair record, filed by entity and property and found with a plain-English question.

You get: A workspace for your entities and properties, and one list of premiums, refunds and taxes coming due, each with a date and someone responsible.

Insurance Review

In one week we list every policy, compare coverage and premium property by property, check each carrier against the market and write the letter your broker re-shops with.

You get: A comparison report, the broker letter, a review of the new quotes and follow-up on any refund owed.

Property Manager Review

Every month the system reads each manager's owner statement house by house, so falling occupancy shows up before the cash does.

You get: A ranked list of where money is leaking, each house's cash flow after the mortgage and dated asks for the manager, with your reply drafted.

Put every property in one system

Five rentals carry about 6,000 pieces of information. The first step is a call with Greg, at no charge. We are starting with a small group of rental owners and setting up each one ourselves.

  • Bring: A list of your properties and their entities, a recent statement from each manager and the declarations page from each policy.
  • On the call: We show you where each piece would live in the system.
  • You leave with: A setup plan for your properties and the first job the system would take on.
